Man and van software

Man and van software for firms running one to three vans

Kwotly is man and van software for owner-operators. Enquiries come in through your own quote page and land priced on your rates, so you check the price and send it from your phone in minutes. It’s free for 10 quotes a month, then £39 or £79 a month, with no contract.

10 quotes a month free. No card needed.

What a working day looks like with it

Enquiry in, priced quote out, you check it and send it. Here’s the whole run, from the first message to getting paid.

Try the quote form as a customer

  1. An enquiry comes in while you’re on a job.

Your quote page is one link for your Facebook page, your Google listing and the side of the van. The customer picks the job, gives both addresses, the floors and the parking, and adds photos or types out what’s going. You get an email the moment it lands.

Every plan: your own quote page. From Starter: a text to your phone as well.

Step 1 of the quote form: What are we moving? Full house move, Part load, Single item, Shop pickup, Waste clearance.
Your quote page, as the customer sees it
  2. It lands priced on your rates.

The price is worked out on the rates you set, not ours. It tells you whether it fits one van or needs two trips, and adds ULEZ and clean-air charges where the route needs them. If they sent photos, the photo scanner reads them into an item list for you to check.

Every plan: van size, two-trip jobs and ULEZ worked out for you.

Change your price: £475, with £420, £465 and £510 to pick from, Save price, See the full breakdown.
    Your number, before it goes
  3. You check it and send it from your phone.

Look over the list, check the access and change the price if it’s not right. Then send it by email from your own Gmail or Outlook, or straight to their WhatsApp. Nothing goes to the customer until you press send.

Every plan: phone and Facebook jobs priced up the same way, by you.

Sent: waiting. Jess got £475 (fixed price). Buttons: They said yes: book it, Message them.
Sent. Now it’s waiting on them.
  4. The customer answers on a page with your name on it.

They can accept the price, ask a question or suggest a different one. Their email replies land under the quote, so the whole conversation stays in one place instead of across three apps.

Every plan: customer messaging. On Pro: your logo and colours on the quote.

Messages under Jess Carter's quote. Jess: Hi, is Saturday the 17th still OK? The big wardrobe doesn't come apart, is that alright? Dean Walsh: Saturday's fine. The wardrobe's already in the £475, no extra. Emailed. Jess: Perfect, thank you!
Her email reply landed under the quote.
  5. On the day, and after it.

The job clock times hourly work and reminds you at the pickup. When the job’s done, email the invoice with your bank details, and mark it paid when the money lands.

Every plan: the job clock and invoices. From Starter: your week of jobs on one screen.

Your move is underway. Live. 1h 35m so far. £130 running total at £45 an hour. You're billed for the time actually worked: £45/hr + £40 call-out, 2 hr minimum. Breaks don't count.
An hourly job on the clock, as the customer sees it

What it doesn’t do

Better you hear it here than find out a month in.

It doesn’t find you work.

Kwotly doesn’t sell leads. It prices the enquiries you already get, from your Facebook page, your Google listing, word of mouth and the van. If work is thin, start with how to get man and van work without paying for leads.

It isn’t a fleet system.

No dispatch board, no crew rota, no storage records, no wages run. If you’ve got a yard full of lorries you want something bigger, and this round-up shows what’s out there.

It isn’t in the app stores.

It runs in your phone’s browser, so there’s nothing to download and nothing to update. Add it to your home screen and it opens like any other app.

It won’t send a price you haven’t seen.

The photo scanner can miss a box or misread a wardrobe, so the list is there for you to check before anything goes. It reads 5 house moves a month on Free, 40 on Starter and 60 on Pro. Past that, the photos still come through and you price from them yourself.

It doesn’t take card payments yet.

Card deposits are on the way but aren’t switched on. For now the customer pays you the way they do already, and the invoice email carries your bank details.

It doesn’t link to your accounts.

No Xero, QuickBooks or Sage connection. Invoices come out of the quote, and anything your accountant needs you pass on the way you do now.

Straight answers

Is there a man with a van app I can download?

Not from the app stores. Kwotly runs in the browser on any phone, so you sign up, put your rates in and start quoting the same evening. Add it to your home screen and it opens like an app. Your customers never download anything either: they get a link.

How much does man and van software cost?

Kwotly is free for 10 quotes a month, for good, with no card needed. Starter is £39 a month for 100 quotes and Pro is £79 a month for 300. No contract and no lead fees. Every plan is on the pricing page.

Do I need a website to use it?

No. Every plan gives you your own quote page, a link you can put on Facebook, your Google listing and the van. On Pro you can put the quote form on your own website too. No website yet? We build them: £500 to build, £25 a month.

Can I price up jobs that come in by phone or Facebook?

Yes, on every plan. Type in the addresses and what’s going and you see the price as you type, worked out on the same rates as your quote page. Then send it the same way as any other quote.

What if the customer doesn’t send photos?

They don’t have to. They can type a list of what’s going, or skip the photos and you price it from what they’ve told you. Photos help when they come, but nobody gets stuck on that step.

Do my customers see the Kwotly name?

Not on the quote. Their quote page carries your business name, though the link itself is on kwotly.co.uk. Add your own logo and colours on Pro.
