These terms govern your use of the Kwotly platform ("Service") operated by Kwotly Ltd (company no. 17027075, registered office 71-75 Shelton Street, Covent Garden, London, WC2H 9JQ) ("we", "us", "our"). By creating an account or using the Service, you agree to these terms.
1. Service description
Kwotly is a software-as-a-service platform that helps removal and man & van operators create, manage, and send quotes to their customers. The Service includes AI-powered photo analysis, quote generation, customer booking pages, team management tools and, where available on your plan, card deposit payments.
2. Accounts
- You must provide accurate and complete information when registering.
- You are responsible for maintaining the security of your account credentials.
- You must not share your account with others. Team access is available through the invitation feature.
- You must be at least 18 years old to use the Service.
- One company account per business. If you need multiple accounts, contact us.
- The Service is for business use. By creating an account you confirm you're using Kwotly for your trade or business, not as a consumer.
3. Subscriptions and payments
- Kwotly offers free and paid subscription plans. Plan details and pricing are displayed on our website.
- Paid subscriptions are billed monthly, or yearly if you pick a yearly plan, via Stripe. You authorise recurring charges when subscribing.
- Yearly plans are paid up front for the year and renew automatically each year unless you cancel. Your monthly allowances (section 4) still apply on a yearly plan. To move between monthly and yearly billing, contact us.
- You may cancel your subscription at any time, yourself, from Settings → Your plan & billing → Manage billing. You don't need to contact us. Access continues until the end of the current billing period (the month, or the year on a yearly plan, that you've paid for) and you won't be charged again.
- If a payment fails, your account drops to the Free plan's features and allowances until the payment goes through. Nothing in your account is deleted.
- We reserve the right to change pricing with 30 days' notice. Existing subscribers will be notified by email.
- Refunds are handled on a case-by-case basis. Contact info@kwotly.co.uk for refund requests.
4. Plan allowances and top-ups
Each plan comes with monthly allowances:
| Plan | Quotes a month | House moves the photo scanner reads a month | Texts a month |
|---|---|---|---|
| Free | 10 | 5 | None |
| Starter | 100 | 40 | 50 |
| Pro | 300 | 60 | 100 |
Swipe sideways to see the whole table.
- A house move counts once for the job, however many photos come with it and however many times the scanner reads them. Single items and clearances don't use the house-move allowance.
- If you ask the scanner to read a quote's photos again, that re-scan uses one of your monthly quotes.
- Allowances run on a rolling 30-day window rather than the calendar month. Anything unused doesn't carry over.
- We email you when you've used 80% and 100% of an allowance. We never charge you for going over.
- When the quotes run out, customers can still send you an enquiry. If they leave an email address, their name and contact details are saved for you so you can get back to them, but no quote is made from it, and any photos sent with it aren't kept.
- When the photo scanner's house moves run out, house moves still come in with their photos. The scanner doesn't read them; you price those from the photos yourself.
- When the texts run out, no more texts are sent until the allowance comes back. Emails keep going out as normal.
- Top-ups are one-off payments, not a subscription, and only available on a paid plan. £20 buys 25 more quotes, with the photo scanner reading up to 25 more house moves. £15 buys 100 more texts. A top-up is used only once your allowance for the current 30 days has run out, and it lasts 12 months from the day you buy it.
- Top-ups aren't refundable once you've started using them. If a top-up payment is refunded or disputed, whatever is left of that top-up is removed; anything already used stays used.
- Fleet plans have allowances agreed with you.
5. Customer deposit payments
Where card deposits are available on your plan, Kwotly facilitates deposit payments from your customers via Stripe. We are not a party to the transaction between you and your customer. You are responsible for fulfilling the services quoted. Stripe's terms of service apply to all payment processing.
6. Acceptable use
You agree not to:
- Use the Service for any unlawful purpose.
- Upload content that is defamatory, obscene, or infringes on others' rights.
- Attempt to gain unauthorised access to the Service or other users' data.
- Use automated tools to scrape, crawl, or extract data from the Service.
- Interfere with the proper functioning of the Service.
- Resell or sublicense access to the Service without our written consent.
7. Your content and data
- You retain ownership of all content you upload to Kwotly (photos, quote data, business information).
- You grant us a limited licence to process your content as needed to operate the Service (e.g., sending photos to AI providers for item detection).
- You are responsible for ensuring you have the right to upload any content, including customer photos.
- We store your data securely and in accordance with our Privacy Policy.
- To find and fix the parts of the dashboard that are hard to use, we record how you use it (pages, clicks and session recordings) with PostHog. Everything you type and all text on screen is blanked out of those recordings. Our Privacy Policy explains what is collected.
- Where you use the Service to handle your customers' personal data, you are the data controller and we act as your processor under our Data Processing Agreement, which forms part of these terms.
8. AI-generated content
The Service uses artificial intelligence to detect items in photos and suggest pricing. AI outputs are estimates and may not be accurate. You are responsible for reviewing and adjusting all quotes before sending them to customers. We do not guarantee the accuracy of AI-generated item detection, volume estimates, or pricing suggestions.
9. Intellectual property
The Kwotly platform, including its design, code, features, and branding, is owned by us and protected by intellectual property laws. You may not copy, modify, or distribute any part of the Service without our written permission.
10. Limitation of liability
- The Service is provided "as is" without warranties of any kind, express or implied.
- We are not liable for any loss of revenue, profit, data, or business arising from your use of the Service.
- We are not liable for the accuracy of AI-generated quotes or item detection.
- We are not liable for disputes between you and your customers.
- Our total liability to you shall not exceed the fees you have paid to us in the 12 months prior to the claim.
11. Service availability
We aim to keep the Service available at all times but do not guarantee uninterrupted access. We may perform maintenance, updates, or experience outages. We will endeavour to notify you of planned downtime in advance.
12. Termination
- You may close your account at any time by contacting us at info@kwotly.co.uk.
- We may suspend or terminate your account if you breach these terms, with or without notice depending on the severity.
- Upon termination, your access to the Service will cease. We will retain your data for 30 days to allow you to export it, after which it will be deleted.
13. Changes to these terms
We may update these terms from time to time. We will notify you of material changes by email or through the platform. Continued use of the Service after changes take effect constitutes acceptance of the updated terms.
14. Governing law
These terms are governed by the laws of England and Wales. Any disputes arising from these terms or your use of the Service shall be subject to the exclusive jurisdiction of the courts of England and Wales.
15. Contact
